Flexibility matters when planning travel. Sacha Lodge offers policies designed to protect your investment and help you book with peace of mind in today’s changing travel environment.

Booking & Payment Conditions

  • No deposit is required to book up to three rooms (a deposit may occasionally be requested during high-demand dates to secure space).
  • 10% deposit is required to book four or more rooms.
  • For programs including the Galápagos, a 35% deposit is required regardless of room quantity.
  • Full payment is due 30 days before arrival. For programs including the Galapagos, full payment is due 60 days before arrival.
  • Payments may be made by bank deposit, wire transfer, personal check from a U.S. bank, or credit card via PayPal (surcharge applies).
  • Travel agencies should consult our sales representative for group contracting and specific payment conditions.

Changes & Cancellations

There are no fees for changing the dates of existing reservations.

There are no cancellation fees prior to the travel date in cases of medical or personal exceptions. Each request is reviewed individually, and cancellations due to medical reasons require a doctor’s certificate confirming inability to travel. Only if the cancellation does not qualify for a medical or personal exception, the standard policies below will apply.

  • For booking of up to three (3) rooms:
    • Cancellations made 31 days or more before arrival incur no penalty.
    • Cancellations made 30 days or less before arrival are subject to 100% charges.
  • For bookings of four (4) or more rooms:
    • Cancellations made 61 days or more before arrival incur no penalty.
    • Cancellations made 60 to 31 days before arrival incur a fee equal to the deposit.
    • Cancellations made 30 days or less before arrival are subject to 100% charges.
  • For programs including Galapagos:
    • Cancellations made 35 days or more before arrival may be refunded or rescheduled, based on the conditions of each contracted service.
    • Cancellations made within 35 days before arrival are not eligible for a full refund. Any refunds, if applicable, will be subject to penalties based on timing and contracted service conditions.
  • Airline policies apply to any changes or refunds associated with air tickets.
  • Refunds for airline tickets are subject to airline policies and conditions.
  • Bank fees may apply in case of refunds.
  • Any change to dates, room type, program, or number of travelers must be requested through the issuing agency or Sacha Lodge sales office for direct bookings. Changes are valid only with written confirmation.
  • Unused services during the program (meals, nights, activities, etc.) are non-refundable.

Flight Policies (Quito–Coca–Quito)

  • Sacha Lodge books and coordinates all flight arrangements for the Quito–Coca–Quito route.
  • To secure seats and avoid overbooking, flights must be booked through Sacha Lodge.
  • Flight schedules vary due to airline operations. Flights typically operate between 9:00 a.m. and 12:00 p.m. Final schedules are shared once your booking is confirmed.
  • Flights may experience delays, changes, or cancellations due to reasons beyond our control. We will assist in coordinating solutions; however, airline policies apply to ticket changes and refunds.

Passenger & Travel Requirements

  • Traveler names must match passport/ID, as they are used for airline tickets. Incorrect or incomplete information may result in denied boarding or extra costs.
  • Travelers are responsible for passport, visa, vaccination, and health requirements in effect at the time of travel.
  • Personal information shared during the booking process is used only to operate, confirm, and manage travel services, and may be shared solely with service providers directly involved in your trip (such as airlines and transportation operators).

Trip Logistics

  • Sacha Lodge programs cannot begin or end on Sundays. If travel dates cannot be changed, a private boat transfer can be arranged for an additional cost.
  • Arrival to the Lodge is between 1:00–2:00 p.m. (includes lunch)
  • Departure from the Lodge is at 6:00 a.m. (after breakfast)
  • Services begin at the scheduled meeting point (Quito Airport or Sacha Office in Coca). Late arrival or no-show may result in loss of services without refund (airline, meals, lodging, excursions). We will help coordinate alternative arrangements when possible, but third-party costs may apply.

Guided Activities & Wildlife Practices

  • Guests are organized into small groups of up to six. A private guide is available for an additional charge and must be arranged during the booking process.
  • While itineraries are flexible, coordination with other groups at the Lodge is required.
  • Sacha Lodge is located in a protected nature reserve. Guests must follow staff and guide instructions at all times.
  • The Lodge is not liable for incidents resulting from failure to follow safety guidelines or undisclosed health or mobility conditions.
  • Excursions may be adjusted due to weather or safety needs, without refund.
  • Visits to the Yasuní Parrot Clay Lick and the Macaw Tree are available Wednesdays and Sundays. Sacha Lodge does not charge for these visits; a USD $10 contribution for the Macaw Tree community is paid locally.
  • Wildlife sightings are not guaranteed. To protect natural behaviors, Sacha Lodge does not use feeders to attract birds or other animals. All encounters occur in the wild, supporting sustainable and authentic experiences.
  • Wildlife viewing must always respect natural distance. Feeding, touching, or attempting any physical interaction with animals is strictly prohibited.
  • Photography must never disturb wildlife. Flash, aggressive positioning, or attempts to provoke movement are not permitted, ensuring animals remain undisturbed in their habitat.
